Laser Engraving and Cutting Business Policy

This policy applies to custom signs, ornaments, boxes, décor, gifts, and other products made from wood, acrylic, leather, and similar laser-compatible materials. It also applies to engraving, cutting, and personalization services performed on customer-supplied items.
By approving a design, paying an invoice, or placing an order, the customer agrees to the terms below.
1. Orders and Quotes
Prices depend on the material, dimensions, design complexity, engraving or cutting time, quantity, finishing requirements, and production schedule.
Quotes are valid for 15 days unless otherwise stated.
Production begins after required payment, receipt of usable artwork and materials, and design approval.
Changes after approval may require a revised price and completion date.
Rush orders are subject to availability and may incur an additional fee.
Minimum-order or setup fees may apply to small, one-off, or technically complex orders.
Taxes and shipping are added when applicable.
For custom work, a [50%] nonrefundable deposit is required before design or production begins. Orders under $100.00 may require payment in full. The remaining balance is due before pickup or shipment.
2. Design and Proof Approval
When a proof is provided, the customer must carefully review all content before approving it, including:
Names, dates, spelling, punctuation, and capitalization.
Dimensions, layout, orientation, and placement.
Fonts, logos, graphics, and personalization details.
Material type, color, thickness, and finish.
Approval authorizes production exactly as shown. The customer is responsible for errors appearing in an approved proof, including misspellings and incorrect dates or names. Changes requested after approval may require remaking the item at the customer's expense.
Screen colors, digital mockups, and photographs are approximate. Actual colors, dimensions, engraving contrast, grain, and placement may vary.
3. Customer Artwork and Intellectual Property
The customer represents that they own, license, or otherwise have permission to use every name, logo, photograph, design, phrase, character, trademark, or other item submitted for production.
The customer is responsible for claims arising from unauthorized content. We may refuse content that:
Infringes intellectual-property or privacy rights.
Is unlawful, fraudulent, threatening, or defamatory.
Promotes violence or unlawful discrimination.
Cannot be produced safely or reliably.
Violates marketplace, supplier, or payment-provider requirements.
Artwork preparation, tracing, cleanup, conversion, and redesign may incur additional charges. Unless otherwise agreed in writing, production files, machine settings, templates, jigs, and original designs created by us remain our property. Purchasing a finished product does not automatically transfer copyright or production-file ownership.
4. Personalized and Custom Products
Custom and personalized products are made specifically for the customer and generally cannot be returned, exchanged, or canceled after design work or production has begun.
Personalization must be submitted in writing. Verbal instructions may be accepted at our discretion, but production will be based on the final written order or approved proof.
Customer-requested changes after production begins may require:
A change fee.
Payment for material already used.
A full remake charge.
An adjusted completion date.
5. Material Characteristics
Laser engraving and cutting involve heat. Natural and manufactured materials may react differently even when purchased from the same supplier or lot. Minor variation is an expected characteristic of the process and is not necessarily a defect.
Wood
Wood naturally varies in grain, knots, color, resin, density, moisture, and texture. These variations may cause differences in engraving depth, darkness, edge color, and cut quality.
Laser-cut wood may have:
Darkened or charred edges.
A temporary smoke or wood-burn odor.
Minor soot, scorch marks, or resin residue.
Slight warping or dimensional movement.
Small voids in plywood cores.
Outdoor exposure, humidity, heat, and direct sunlight may cause fading, swelling, cracking, or warping unless the product is specifically designed and finished for outdoor use.
Acrylic
Acrylic may show minor differences in color, opacity, thickness, engraving frost, or edge appearance. Laser cutting may leave small start points, heat marks, or other process artifacts.
Cast and extruded acrylic can engrave and cut differently.
Clear, mirrored, glitter, translucent, and specialty acrylics may show variation.
Acrylic can scratch, crack, chip, melt, or warp if mishandled or exposed to excessive heat.
Cleaning products containing ammonia, alcohol, acetone, abrasives, or strong solvents may damage acrylic.
Acrylic products should be cleaned with a soft microfiber cloth and a cleaner specifically suitable for acrylic.
Leather
Leather varies naturally in color, texture, thickness, grain, scars, wrinkles, and finish. These characteristics are part of the material and may remain visible in the finished item.
Laser processing may produce:
Darkening around engraved or cut areas.
A temporary burned-leather odor.
Soot or residue.
Variation in engraving depth or contrast.
Minor edge stiffness or discoloration.
Only materials represented as suitable for laser processing will be accepted. PVC, vinyl, synthetic leather containing chlorine, and unknown coated materials will not be laser processed.
6. Material Safety
We reserve the right to reject any material that is unknown, mislabeled, contaminated, hazardous, or unsuitable for laser processing.
We do not knowingly laser cut or engrave materials that may emit dangerous fumes or damage equipment, including:
PVC, vinyl, or chlorinated plastics.
Unknown synthetic leather.
Materials containing asbestos or fiberglass.
Highly flammable, explosive, or pressurized items.
Materials with unknown coatings, adhesives, or chemical treatments.
Any item we cannot safely secure, ventilate, or process.
A supplier label or safety data sheet may be required before an unfamiliar material is accepted.
Products are decorative unless expressly identified otherwise. They are not certified for use as toys, food-contact surfaces, personal protective equipment, electrical components, structural components, or safety-critical parts.
7. Customer-Supplied Materials and Items
Customer-supplied items are processed at the customer's risk. Laser results cannot always be predicted because the item's exact composition, coating, prior damage, manufacturing method, or internal structure may be unknown.
Before accepting an item, we may require:
A spare item for testing.
Documentation identifying its composition.
Removal of accessories, packaging, batteries, or contents.
Written approval of placement and expected results.
A customer-supplied-item acknowledgment.
Although reasonable care will be used, we are not responsible for ordinary risks inherent in laser processing, including discoloration, cracking, melting, burning, warping, coating failure, incomplete engraving, or total loss of the item. If damage results from our proven failure to use reasonable care, our liability will not exceed the lesser of the item's documented replacement value or the amount stated in the accepted quote, subject to applicable law.
We may decline rare, sentimental, irreplaceable, unusually valuable, hazardous, or technically unsuitable items.
8. Measurements, Assembly, and Installation
Dimensions are approximate and may vary within reasonable manufacturing tolerances. The customer is responsible for confirming that an item will fit its intended space or application before approving the order.
For products installed by the customer:
The customer must use appropriate hardware and installation methods.
Wall type, anchors, weather exposure, wind, weight, and local requirements must be considered.
We are not responsible for damage caused by improper mounting, handling, maintenance, or installation.
Installation services, when provided, will be governed by the written quote or separate agreement.
9. Production Times
Completion dates are estimates unless we expressly guarantee a date in writing. Production may be affected by material availability, equipment maintenance, shipping delays, design changes, weather, or circumstances outside our reasonable control.
The customer should not schedule an event or make commitments based on an estimated date without written confirmation. We are not responsible for indirect losses caused by delays, such as lost sales, missed events, travel expenses, or third-party charges.
10. Cancellations
Stock-product orders may be canceled before processing begins. Custom or personalized orders may be canceled only at our discretion.
If cancellation is accepted:
Design, setup, and administrative work already completed is nonrefundable.
Special-order materials and completed production are charged in full.
Deposits are applied to costs already incurred.
Any remaining refundable amount will be calculated after those charges.
We may cancel an order because of safety concerns, unavailable materials, unsuitable artwork, suspected fraud, unlawful content, equipment limitations, or abusive conduct. Any unearned payment will be refunded.
11. Returns, Defects, and Remakes
Because custom products cannot ordinarily be resold, approved personalized items are final sale except when they do not materially match the approved order or have a manufacturing defect.
Customers must inspect orders promptly and report a problem within 7 calendar days after delivery or pickup. The notice should include the order number and clear photographs of the item, packaging, and alleged defect.
If we confirm that the item is defective or materially different from the approved order, we may, as appropriate:
Repair the item.
Remake the affected item.
Issue store credit.
Refund the amount paid for the affected item.
Normal material variation, minor laser marks, approved-proof errors, natural wood or leather characteristics, reasonable dimensional tolerances, and damage caused after delivery are not manufacturing defects.
Unauthorized returns will not be accepted. The original product may have to be returned before a remake, credit, or refund is issued.
12. Shipping, Delivery, and Pickup
Shipping and delivery dates are estimates. The customer must provide a complete and accurate address. Additional shipping charges caused by an incorrect address, refused delivery, or reshipment are the customer's responsibility.
Visible shipping damage should be photographed before the package is opened when possible and reported within 3 calendar days. The customer must retain the item and all packaging while the carrier claim is reviewed.
Completed pickup orders must be collected within 30 days of notification. Storage fees may apply afterward. Items unclaimed for 90 days may be considered abandoned and disposed of or resold where legally permitted, after reasonable notice. Amounts already paid remain nonrefundable to the extent allowed by law.
Risk of loss transfers upon customer pickup or delivery to the carrier, except as otherwise required by applicable law.
13. Care and Use
Customers should follow any care instructions supplied with the product.
Keep wood dry unless it was specifically finished for outdoor exposure.
Keep acrylic away from open flames, high heat, harsh solvents, and abrasive cleaners.
Keep leather away from prolonged moisture, excessive heat, and harsh chemicals.
Do not place laser-cut products near candles, burners, heaters, or other ignition sources.
Small components may present a choking hazard and must be kept away from young children.
Packaging is not a toy and should be discarded safely.
Any outdoor-use or food-contact claim must appear in the product description or written order. Absence of such a statement means the product is intended for decorative indoor use only.
14. Privacy and Customer Information
We collect information reasonably needed to provide quotes, process orders, communicate with customers, personalize products, collect payment, arrange delivery, prevent fraud, and meet legal obligations. This information may include names, contact details, shipping addresses, order content, personalization details, artwork, transaction records, and customer communications.
We may share information with service providers that assist with payment processing, website hosting, shipping, accounting, communications, fraud prevention, or legal compliance. We do not sell customer personal information unless expressly disclosed and permitted by law.
Payment-card information should be processed through an authorized payment provider and should not be stored in ordinary email, messages, or order notes.
Reasonable safeguards will be used to protect customer information. If a qualifying breach of computerized personal information occurs, required investigation and notifications will be handled under Arizona law. Arizona's breach-notification requirements generally apply to businesses handling covered, unencrypted computerized personal information and generally require qualifying notices within 45 days; additional notices apply when more than 1,000 Arizona residents are notified.

Customers may request correction of inaccurate contact information or ask questions about our information practices by contacting ncldesignsaz@gmail.com. Records may be retained as reasonably necessary for business, tax, accounting, dispute-resolution, and legal purposes.
15. Product Photography
Unless the customer opts out in writing before production, we may photograph finished work and use photographs of the product for our portfolio, website, social media, samples, or advertising.
We will make reasonable efforts not to display private contact details. Customers should opt out when an item contains sensitive personal information, a private message, a child's identifying information, an unreleased product, or a confidential business design.
16. Limited Warranty and Liability
We warrant that, at delivery, products will materially conform to the approved order, subject to the material variations and tolerances described in this policy.
To the extent permitted by law:
Remedies are limited to repair, remake, credit, or refund for the affected item.
We are not liable for indirect, incidental, special, punitive, or consequential damages.
Our total liability will not exceed the amount paid for the affected product or service.
We are not responsible for damage caused by misuse, improper storage, improper installation, accidents, weather, normal wear, unauthorized alteration, or failure to follow care instructions.
Nothing in this policy excludes a right or remedy that cannot legally be waived.
17. Disputes and Governing Law
The customer should submit any concern in writing to ncldesignsaz@gmail.com, including the order number, a description of the issue, and supporting photographs. Both parties agree to attempt a good-faith resolution before filing a claim when practicable.
This policy and related transactions are governed by the laws of the State of Arizona, without regard to conflict-of-law principles. Any legal proceeding must be brought in a court with proper jurisdiction in Mohave County, Arizona, unless applicable law requires otherwise.
18. Policy Changes and Severability
We may update this policy for future orders. The version in effect when an order is accepted will govern that order unless the parties agree otherwise in writing.
If any provision is held unenforceable, the remaining provisions will continue in effect. A written quote, invoice, or signed agreement controls if it expressly conflicts with this general policy.
